Sending a Letter

Use letter templates to communicate with students during key steps. Merge fields populate student and case details automatically; you may add case-specific information as needed.

Steps

  1. Open the case and go to Other Actions > Send a Letter.
  1. Select an appropriate template, e.g.:
  • Courageous Conversation invitation
  • CC outcome: misconduct found / not found
  • Referral to AIO (when case is escalated to AIO)
  1. Edit the HTML body to add any additional details required for this case.
  2. Confirm recipients. By default, the student(s) are addressed; add CC/BCC where appropriate (e.g., reporting staff in a decision email).
  1. Select Online Preview to confirm merge fields resolve correctly, then select Submit to send.
