Sending a Letter
Use letter templates to communicate with students during key steps. Merge fields populate student and case details automatically; you may add case-specific information as needed.
Steps
- Open the case and go to Other Actions > Send a Letter.
- Select an appropriate template, e.g.:
- Courageous Conversation invitation
- CC outcome: misconduct found / not found
- Referral to AIO (when case is escalated to AIO)
- Edit the HTML body to add any additional details required for this case.
- Confirm recipients. By default, the student(s) are addressed; add CC/BCC where appropriate (e.g., reporting staff in a decision email).
- Select Online Preview to confirm merge fields resolve correctly, then select Submit to send.
