 Audiovisual Policy for borrowing wireless microphones 

 

1) Purpose: The CELT-AV department is pleased to support the audio-visual needs of staff and students at the University of Galway. To facilitate the effective use of microphone equipment in university theatres, the following policy outlines the loaning process for lapel and handheld wireless microphones. 

2) Microphone availability by Theatre Capacity: 

  • Small Theatres (up to 125-seater): 1 Lapel microphone or 1 Handheld microphone. 
  • E.g. Larmour, McMunn, Dillon, IT125, MY127 
  • Medium Theatres (125 to 250-seater): 1 Lapel microphone and 1 Handheld microphone. 
  • E.g. Anderson, Fotrell, O’Tnuthail, O’Heocha, HBB-G098 
  • Large Theatres (over 250-seater): 1 Lapel microphone and 2 Handheld microphones. 
  • E.g. Kirwan, O’Flaherty, MY243 

 

3) Loan Process: 

  • Typically, lapel microphones are kept in the projection rooms at the rear of each theatre. Access is obtained using staff card however this must be enabled by the security office. 
  • To request the loan of a microphone, please email the CELT-AV department at [email protected].  
  • Notice Period: Requests must be submitted at least 48 hours in advance to ensure availability and proper arrangements. 
  • Please include the following details in your email: 
  • Event Date and Time 
  • Theatre Location 
  • Microphone Type Requested (Lapel/Handheld) 
  • Purpose of Use 

Collection and Return: 

  • Equipment should be collected from the CELT-AV department at an agreed time. 
  • Microphones must be returned immediately after the event, in the same condition they were loaned. 

 

4) Usage: 

  • Equipment is loaned on a first-come, first-served basis. 
  • It is the responsibility of the borrower to ensure the equipment is used responsibly and returned in good condition. 
  • Any damage or loss of equipment may incur a replacement or repair fee. 

 

5) Technical Support: If you require additional technical support, live streaming, video conferencing, recording, or extra microphones, you can refer to the procurement framework agreement CON433. This agreement provides specialist technical support for audio-visual recording, streaming, and media production for university events. Review and Revision: 

  • This policy will be reviewed periodically, and necessary revisions will be made to ensure its continued effectiveness.
