CELT AV Support Policy for University of Galway Medical Acadmey Campuses Rev 18072024

Policy Statement:

The University is committed to providing high-quality AV support to its satellite medical academy campuses located at Castlebar, Sligo, Letterkenny, and Ballinasloe. To ensure the optimal functionality of AV equipment and to support the educational experience, the following policy is established.

Annual Maintenance and Inspection:

  1. Pre-Term Inspection:
    • An approved AV contractor will conduct an annual visit to each Medical Academy campus before the start of the academic term.
    • During this visit, the contractor will perform a comprehensive check of all AV equipment, including but not limited to projectors, Screens, sound systems, microphones, and video conferencing tools.
    • Any identified issues will be addressed and rectified to ensure that all AV systems are fully operational for the upcoming term.
    • Any costs associated with equipment repair or upgrade will be the responsibility of the University Medical School.

Ongoing Support:

  1. Technical Support Throughout the Term:
    • The AV contractor will be available within 24 hours to address any urgent technical issues that may arise during the term.
    • Support requests should be logged through the University’s centralised AV support system by emailing [email protected]
    • The CELT-AV team will respond promptly to all support requests and aim to resolve issues in a timely manner to minimise disruption to teaching and learning activities.

Equipment Upgrade and Replacement:

  1. Regular Assessment:
    • The AV contractor, in collaboration with the University’s AV department, will regularly assess the condition and performance of the AV equipment.
    • Recommendations for upgrades or replacements will be made based on the assessment to ensure that the technology remains current and effective.

Communication and Reporting:

  1. Status Reports:
    • The contractor will provide CELT with a detailed report following the annual pre-term inspection, outlining the status of the equipment and any actions taken.
    • Additional reports will be provided as needed following any significant maintenance or support activities.

Responsibilities:

  1. University CELT AV Team:
    • Oversee the contract and ensure compliance with the terms of this policy.
    • Liaise with the medical academy campuses to ensure that AV needs and issues are communicated effectively to the contractor.
  2. Medical Academy Administration:
    • Coordinate with the University CELT AV team and the approved contractor to facilitate access and support.
    • Ensure that medical academy staff are informed about the procedures for logging AV support requests.

Review and Update:

  1. Policy Review:
    • This policy will be reviewed annually to ensure its effectiveness and relevance.
    • Feedback from staff at the satellite campuses will be considered during the review process.

By adhering to this policy, the University aims to maintain a high standard of AV support, thereby enhancing the learning environment at its medical academy campuses.
