Manually enrolling students to a Canvas course

This article will provide a guide on limitations regarding manually enrolling students and review options for scenarios involving a need to add students to a course.

The University Teaching & Learning Committee have made a decision to restrict manual enrolment of students to Canvas courses. This decision was made in response to a number of serious issues in this past academic year related to manual enrolment of students to Canvas courses, some of which have had significant impact on individual students.

These include:

  • students missing exam results due to incorrect module registration on Quercus
  • students receiving incorrect exam results
  • students having to pay to take Autumn repeat exams due to enrolment discrepancies.

Please note that it is still possible for any ‘teacher’ enrolled users to add CÉIM Leaders, observers, teaching assistants, and other teaching staff to Canvas course modules.

Students should be enrolled through the automated process to ensure a better outcome, maintain the integrity of our records, and reduce the risk of students missing exams or losing academic credit. If any student has a query regarding enrolment or registration they should be directed to the Registration Team to ensure that their records are correct and that they have access to all the appropriate Canvas courses.

We understand there are circumstances in which manual enrolment has been used in the past. Please read through the following alternatives:

  • If the student sat repeat exams in August, direct your students to contact Registry and resolve the problem with their registration.
  • If the student was on Erasmus last year and is awaiting marks, direct your students to contact Registry and resolve the problem with their registration.
  • If the student has registered for the module with Registry but after waiting 24 hours still cannot see the corresponding Canvas Course, direct your students to contact Registry and resolve the problem with their registration.

Students should be directed to [email protected] if they have any registration queries. Thank you for your understanding and cooperation.

If your request to manually enrol does not fall into one of those categories, then please submit your request by filling out the form at this link.

The request will then be reviewed by the relevant College and you will be informed of their decision.  Should you have any questions or require further assistance, please do not hesitate to reach out to your College Office.
