How to return Final Marks from Canvas to Quercus+

Official Final Marks for modules are returned from Canvas to our Student Information System (SIS) Quercus+ automatically, once entered in the correct Final Mark column on Canvas. This article describes how to enter your final marks on Canvas.

How to enter a Final Mark in Canvas (Using an Excel upload option)

This section explains how to enter a final mark into a Canvas course (i.e. a module) by uploading using Microsoft Excel into the correct Final Mark column on Canvas

Open Grades

In Course Navigation, click the Grades link.

At the top right, locate the Export button.

Click to open the drop-down menu, and choose to export either the entire gradebook.

A csv file will download.

Click to open it and enable editing.

Find the column that represents the number you would like to transfer over the the Final Mark column that returns to Quercus.

This is often a manually-created Provisional Mark column or the Total column, depending on your use of Canvas.

Select the cells in the relevant column (e.g. Provisional Mark) to copy them. Then, paste them into the Final Mark column. This column will be to the left of the Course Instance column.

The final mark should be a whole number (no decimals, no percentage signs).

Save the file (keep it as a csv). And return to the Canvas gradebook. 

In the same top right corner where you exported the file, now click Import.

This will take you to the import area of the Gradebook.

Choose the file that you just saved.

Then, click the Upload Data button.

Wait for the file to upload (it may take a few seconds to a minute depending on the file size and your internet speed). Once it loads, you will see the changes you are about to make. In most cases, the change is from a blank cell in the Final Mark column to the whole number you have entered on the CSV file.

Take the time to verify that the data appears correct.

Then, proceed to click the Save changes button, which will bring these numbers into the final mark column in the gradebook.

You will see a pop-up upon clicking the Save changes button. It explains that you will go back to the gradebook, but that you might not see any changes yet. Wait a few minutes (the time will be dependent upon the size of the file and your internet speed) and refresh until you see the data appear in the Final Mark column.

If you need to change or add a mark at a later time to just a few students, you can use the manual option as described below.

How to enter a Final Mark in Canvas (Using a manual entry option)

This section explains how to enter a final mark into a Canvas course (i.e. a module) by directly entering a number in the correct Final Mark column

Open Grades

In Course Navigation, click the Grades link.

Locate the Final Mark column where you want to enter a mark.

Select the student name, and in the Final Mark column, select the relevant cell, and enter the Final Mark number, and click Save.  

Note: In the Final Marks column, grades cannot be saved by hitting the Return key.
Instead, select Save to save the mark. 

The final mark should be a whole number (no decimals, no percentage signs), or the letters INC for incomplete.

Once entered, the process of submitting final marks to the Student Information System is automatic.

If the Final Mark is changed prior to the marks return deadline set by the Exams Office, then the modified mark will be passed back to the SIS.

It is not possible to delete the Final Mark column.

It is not possible to show the Final Mark column to students. Any data entered here is visible only to users with a role other than Student on the course (e.g. it is visible only to Teacher, Course Designer, External Examiner roles, etc.)

Missing Grades in Canvas Gradebook

If grades are missing from columns in Canvas Gradebook, try these troubleshooting tips below.

  1. Ensure you have provided enough time for the .CSV file to upload.
    • Wait a few minutes (the time will be dependent upon the size of the file and your internet speed) and refresh until you see the data appear in the Final Mark column.
  2. Download a .CSV file from the Gradebook to ensure that all the data was uploaded.
    • If there is data missing from the file you can add the grades manually or upload a new file.

Additional Gradebook Settings

You should also be aware of how students access Grades on your course. There are three settings available to you to control when and how students can view grades. Be sure to gain familiarity with these settings below.

1. Change to manually post your grades

You can adjust your Gradebook, to control when you students will see marks on . The first setting you may wish to amend, is located under the Grades setting.

2. Make totals inaccessible to students

Also, within you course Settings, you can also ensure that totals are not accessible to students.

3. Hide grades entirely

You can also make all grades on your course hidden, by hiding the Grades menu item.

To do this, go to your course Settings, and locate the Navigation tab.

Drag Grades to below the line, to hide them from students.

Scroll down and click Save.

Marks will return to the Student Information system regardless of any changes made to these three settings above, when entered in the Final Mark column.

How to check that the final mark has been returned

Once your Final Mark has been entered into the correct column on Canvas, it will be automatically returned to the Student Information System (Quercus+). Marks are extracted daily, up until the final marks return date, for each programme (as specified on the Academic Calendar for each year).

To verify that your final marks were returned successfully, you can either ask your school administrator to check if your marks are appearing on Quercus+ or you can visit the ISS Academic Web Service (Jura) at this direct link:

You will be prompted to sign in - use your staff id (0123456s) and your university password (Microsoft login).

After logging in, you will see the interface below. Click the drop-down menu to look for extracted marks from the relevant type of module.

Only instructors who are listed on Akari will be able to check that marks have been extracted using this method.
